Comma Recruitment are looking for a talented, experienced Bilingual Administration assistant to join the Finance Department, ideal opportunity for a seasoned professional . Must be fluent in French and English with Admin, Accounting or Financial experience.
Responsibilities:
Working in a small team, this is a non-call centre environment, wonderful working conditions in a specialized, small boutique insurance company.
• Provide administrative, clerical, and operational support to the Executive Director, in addition to providing administrative support to the insurance professionals. This includes correspondence and file preparation, electronic scheduling through Outlook, travel arrangements, meeting coordination, expense reports, updating calendars and phone coverage.
• Coordinate the distribution of incoming and outgoing mail including courier service
• Create and maintenance of hard copy and electronic filing systems including archiving of files both locally and remotely
• Maintain and purchase of office supplies
• Liaise with external IT vendor for the smooth functioning of all office equipment.
• Coordinate seminar activities including production and distribution of seminar materials.
• Track and record members contributions and correspondence mailing list
• Translate documents in both French and English
• Maintain and update website content
• Maintain financial records and reports including bank deposits and accounts payable
• Prepare monthly bank reconciliations and reconcile monthly premium and claims controllable accounts.
• Prepare and organize Board meetings including mailing and distribution of Board documents and travel arrangements for Board members.
• Prepare presentation materials utilizing PowerPoint.
• Assist in the preparation of reports utilizing Excel and Access
• Maintain confidential information.
• Other special projects/duties as assigned.
Education:
• College Diploma or equivalent experience
Experience:
• Ability to handle and maintain confidential documents and information.
• A minimum of 3-5 years Executive administrative experience; clerical level experience in finance or accounting environment; Insurance industry experience is an advantage although not essential
Other knowledge, skills, and abilities:
• Excellent written and oral communication skills in both English and French. Ability to effectively communicate with all levels of the business
• Computer literacy and proficiency using MS Word, Excel, PowerPoint and Outlook.
• Knowledge of using QuickBooks is an advantage
• Exceptional organizational, prioritization and decision making skills. Ability to problem-solve proactively.
• Ability to work with minimal supervision
• Ability to multi-task and meet deadlines

Responsibilities

1. Manage the Testing team including testing tools and testing processes. Supervise the work of the team and assist in developing recommendations to improve the team’s efficiency. Ensure resources are adequate, and deliverables are met in the appropriate timelines.
2. Define and implement the role testing has within the organizational structure.
3. Assist in developing and following up on the budget and in planning resources and growth.

Qualifications
•Post Secondary education or equivalent work experience
•Completion of / or commitment to achieve CIP
•5 years of personal lines underwriting distribution experience or relevant IT experience within insurance industry
•Sound knowledge of systems development and SDLC (Requirement definition and User Acceptance testing)
•Must possess well developed oral and written communication
•Excellent judgment, analytical, interpersonal and team building skills
•Prior team leader or supervisory experience would be beneficial

Knowledge and experience required to inspect Boiler and Pressure Vessels in compliance with Ontario Regulations. Must have an Ontario Certificate of Competency enabling the individual to complete required Jurisdictional Inspections and issue Certificates of Inspection. Preference will be given to individuals with a National Board Designation.

Conducts inspections and assessments of commercial properties for existing and/or potential mechanical breakdown insurance risks. Formulates verbal and written recommendations.
Issues Certificates of Inspection for boiler and pressure vessel objects which require them.
Inspection and generating a report that supports the underwriting and pricing of Production Machinery and Consequential Loss
As a representative of the company, provides quality customer service to insured’s and brokers as well as to internal customers such as underwriters, claims adjusters and managers.
Required to attend claims sites and assist in the assessment of the claim and its potential.
Assists in the development and delivery of equipment breakdown training programs relating to loss control and prevention to brokers, underwriters, and insured’s.
